Or do you want to upload Excel-Files or PDF documents to\u00a0your customers? This is now possible directly within portatour\u00ae Anywhere.<\/p>\n<p>Go to <strong>Options<\/strong> and create a <strong>custom field<\/strong> with type <strong>External file<\/strong> or <strong>External files<\/strong>. File uploads can be configured for customers, call reports, and appointments. If you don&#8217;t see the option for custom fields, it may be necessary to contact your administrator to set it up. The file server must support the\u00a0<strong><a href=\"http:\/\/en.wikipedia.org\/wiki\/WebDAV\" target=\"_blank\">WebDAV<\/a> protocol <\/strong>and must be reachable via the internet. portatour\u00ae connects using an <strong>encrypted <\/strong>SSL-connection and will authenticate itself via a <strong>username<\/strong> and <strong>password<\/strong>. This is configured when setting up the custom field:<\/p>\n<p>&nbsp;<\/p>\n<p><a href=\"http:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Userdefined-Field-External-Filesi.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-308\" alt=\"Userdefined Field External Files\" src=\"http:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Userdefined-Field-External-Filesi.png\" width=\"292\" height=\"578\" srcset=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Userdefined-Field-External-Filesi.png 292w, https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Userdefined-Field-External-Filesi-151x300.png 151w\" sizes=\"auto, (max-width: 292px) 100vw, 292px\" \/><\/a><\/p>\n<p><strong>Tip:<\/strong> There is a multitude of companies providing <strong>cloud-storage with WebDAV support<\/strong> on the internet. If you don&#8217;t want to host your own server, cloud-storage providers are a great option for both individuals and large enterprises and typically allow you to set up an account within minutes. Search for &#8220;cloud storage WebDAV&#8221; or &#8220;online storage WebDAV&#8221; to find a provider. Verify that WebDAV is supported before making your choice.<\/p>\n<p><strong>Technical details<\/strong> for uploading files:<\/p>\n<ul>\n<li>The maximum size is 10MB per file.<\/li>\n<li>The files are automatically organized within sub-folders. Per user and day, a new folder is created. File-names are automatically created and contain both the customer name and a unique ID.<\/li>\n<li>If you export call reports as Excel or CSV files and uploads have been added to these call reports, the folder and name of the file will be contained in the exported call report. The same applies when exporting customers or appointments.<\/li>\n<li><span style=\"line-height: 1.714285714; font-size: 1rem;\"><span style=\"line-height: 1.714285714; font-size: 1rem;\">Custom fields with type &#8220;External file&#8221; support uploading exactly one file whereas &#8220;External files&#8221; supports multiple files.\u00a0<\/span><\/span><\/li>\n<li>On iPhone and iPad, only photo-upload is supported, no other file types can be uploaded. This is a restriction set by Apple.<\/li>\n<li>Handle files on the WebDAV-server with care. If files are moved, deleted or renamed\u00a0on the server, portatour\u00ae will not find them anymore.<\/li>\n<\/ul>\n<p>Special considerations for users of <strong>Salesforce and Dynamics CRM<\/strong>:<\/p>\n<ul>\n<li>Uploaded files are stored on a WebDAV-server and not within Salesforce or Dynamics CRM. The location of uploaded files will be written into a text-field configured within Salesforce or Dynamics CRM.<\/li>\n<li>Install the latest release of portatour\u00ae for <a title=\"Download\" href=\"http:\/\/www.portatour.com\/salesforce\/download\" target=\"_blank\">Salesforce<\/a>\u00a0or <a title=\"Download\" href=\"http:\/\/www.portatour.com\/dynamics-crm\/download\" target=\"_blank\">Dynamics CRM<\/a>.<\/li>\n<li>To setup file upload, first a (hidden) text-field has to be added to the entity (account, event, &#8230;). The text-field must be at least 255 characters long. To upload multiple files, it must be a multi-line field. Then this text-field must be configured as custom field for portatour\u00ae Anywhere, setting the field-type to either &#8220;External file&#8221; or &#8220;External files&#8221;.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Do you want to add current photos to your call reports?
