You want to inform a customer about an upcoming appointment or quickly forward a report to the back office after a visit. Until now, both required a detour via your external email program.<\/p>\n<p>From now on, you can do both directly in portatour\u00ae with the new functions: <strong>Send appointment notice by email<\/strong> and <strong>Send report via email<\/strong>. All via your existing Microsoft email account.<\/p>\n<h2>Set up email delivery providers<\/h2>\n<p>To use the new functions, first set up an email delivery provider in portatour\u00ae. Proceed as follows:<\/p>\n<ol>\n<li>Open the <strong>Options<\/strong> in the main menu.<\/li>\n<li>Select <strong>Email Delivery Providers<\/strong> &gt; <strong>Add<\/strong>.<\/li>\n<li>Click <strong>Log in with Microsoft<\/strong>.<\/li>\n<li>Log in with the credentials of the respective account.<\/li>\n<li>Allow emails to be sent via your account. If access is blocked by your organization, contact your IT administrator.<br \/>\n<em style=\"font-size: 1rem\">Note: portatour\u00ae requires <strong>only<\/strong> the <strong>permission<\/strong> to <strong>send<\/strong> emails, <strong>without<\/strong> <strong>access<\/strong> to the <strong>mailboxes<\/strong>.<\/em><\/li>\n<li>A window opens for saving the email delivery provider.<br \/>\n<a href=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Optionen-E-Mail-Provider-Einrichten-Speichern-EN.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-12820 \" src=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Optionen-E-Mail-Provider-Einrichten-Speichern-EN.png\" alt=\"\" width=\"345\" height=\"245\" \/><\/a><\/li>\n<\/ol>\n<ol start=\"7\">\n<li>Click <strong>Save<\/strong>.<\/li>\n<li>You will receive a test email sent by portatour\u00ae via your configured provider.<\/li>\n<\/ol>\n<p><em>Note: An email delivery provider can <strong>only be set up by the user themselves<\/strong>, as this requires their individual permissions with Microsoft.<\/em><\/p>\n<h2>Announce appointment by email<\/h2>\n<p>With the new function <strong>Send appointment notice by email<\/strong>, you send an email announcement for an appointment to your customers directly from portatour\u00ae. Proceed as follows:<\/p>\n<ol>\n<li>Select <strong>Send appointment notice by email<\/strong> by right-clicking an upcoming appointment in the calendar or schedule, or on the appointment detail page under actions.<\/li>\n<li>Check or complete <strong>To, Cc, Bcc<\/strong>, <strong>Subject<\/strong> and <strong>Content<\/strong>. The <strong>To<\/strong> field is filled automatically if exactly one email address is stored for the appointment or customer. If several addresses are stored, they appear as suggestions for selection.<\/li>\n<li>Click <strong>Send<\/strong>.<\/li>\n<\/ol>\n<p><a href=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Termin-Ankuendigen-Senden-EN.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-12826\" src=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Termin-Ankuendigen-Senden-EN.png\" alt=\"\" width=\"900\" height=\"727\" \/><\/a><\/p>\n<p>Announced appointments are marked with an announcement icon in all views (calendar, appointment list, schedule). This information is also available in extended search and export. If you move or edit such appointments, you will see a note that the recipients will not be automatically informed again.<\/p>\n<p><a href=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Kalender-Termin-Angekuendigt-Symbol-EN.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-12832\" src=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Kalender-Termin-Angekuendigt-Symbol-EN.png\" alt=\"\" width=\"442\" height=\"85\" \/><\/a><\/p>\n<p><em>Notes:<\/em><\/p>\n<ul>\n<li><em>The optionally attached ICS file is used to add the appointment to the recipient\u2019s calendar. It is purely informational and not an invitation with response options.<\/em><\/li>\n<li><em>To avoid having to make the same adjustments every time, use <strong>Save CC, BCC, Subject, and Content without bold text as default<\/strong>.<\/em><\/li>\n<\/ul>\n<h2>Send report as email<\/h2>\n<p>With the new function <strong>Send report via email<\/strong>, you send a report directly from portatour\u00ae to recipients of your choice. Proceed as follows:<\/p>\n<ol>\n<li>Select <strong>Send report via email<\/strong> on the customer detail page under <strong>Last report<\/strong>, by right-clicking a report in the report list, or via <strong>Send via email<\/strong> in the opened report.<\/li>\n<li>Enter the desired recipients under <strong>To<\/strong>. Recently used addresses are displayed as suggestions. In addition to <strong>To<\/strong>, <strong>Cc<\/strong> and <strong>Bcc<\/strong> are also available.<\/li>\n<li>Click <strong>Send<\/strong>.<\/li>\n<\/ol>\n<p><a href=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Bericht-Per-E-Mail-Senden-EN.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-12838\" src=\"https:\/\/www.portatour.com\/blog\/users\/wp-content\/uploads\/sites\/2\/Bericht-Per-E-Mail-Senden-EN.png\" alt=\"\" width=\"750\" height=\"988\" \/><\/a><\/p>\n<p><em>Notes:<\/em><\/p>\n<ul>\n<li><em>The email contains the completed fields of the report. Make sure that the recipients are authorized to receive this data.<\/em><\/li>\n<li><em>Click <strong>Show email preview<\/strong> to check the content of the email before sending.<\/em><\/li>\n<li><em>Write an <strong>introduction<\/strong> if you want to provide the recipient with additional information about the report. It will be inserted in the email before the report content.<\/em><\/li>\n<li><em>If the report contains external files, these are sent as attachments by default if the total size is under 20 MB. Disable <strong>Attach external files as attachments<\/strong> if you do not want to send the files along.<\/em><\/li>\n<\/ul>\n<h2>Further notes on sending emails<\/h2>\n<ul>\n<li>All sent emails are stored by the email provider in the sent items.<\/li>\n<li>Administrators and supervisors can also use <strong>Send appointment notice by email<\/strong> and <strong>Send report as email<\/strong> in other users\u2019 workspaces, provided they have configured their own provider. Emails are always sent via their own provider. In the case of <strong>Send appointment notice by email<\/strong>, you initially receive an adapted introduction text. The saved default applies per workspace.<\/li>\n<li>Several email delivery providers can be configured at the same time. When sending, you then select which provider the email should be sent through.<\/li>\n<li>The functions <strong>Send appointment notice by email<\/strong> and <strong>Send report via email<\/strong> are not available if portatour\u00ae is connected to Dynamics CRM as the data source system.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Does this sound familiar?
